Job Description & Summary

We are looking for a Workshop Controller to join our Service Department. This role is designed to provide hands-on experience in coordinating between the workshop and service consultants, ensuring efficient job distribution, high-quality service, and customer satisfaction.


Purpose:

To coordinate between workshop and service consultants to ensure that the best possible high standard customer service is delivered and efficient distribution of job cards to ensure speed and quality.


Duties:

To be responsible for the complete and proper execution of repair orders by the technicians in accordance with the dealer guidelines and standards.

Check that correct job numbers are entered according to the latest system

Update the system when additional work is found and approved.   

Use the system to update vehicle status on an ongoing basis.

Extensive liaison with service department to ensure smooth running of all jobs carried out to the dealerships standard.

Interact with members of other departments to develop a team culture.

Ensure perfect quality through the use of proper utilization of workshop equipment and facilities.    

Keep accurate records for the Workshop times by making sure of proper clocking in and out by technicians for each repair job.    

Allocate work according to booking status as per standards.

Booked customers should enjoy priority.  

Monitor cars through the workshop on an hourly basis and communicate feedback to service advisors. 

Pressure technicians to complete required tasks within the time allocated in the latest system.   

Organize order management according to technician qualifications   

Coordinate time scheduling with Service Advisor’s and note possible delays and additional work.

Verify costing correctness with regular spot checks    

Convey additional work to Service Advisor’s and seek approval from them.

Prepare reports when required using system loading.

Check the punctuality of all work ordered from outside suppliers and informs the SM or WM of consistent lack of punctuality.

Report to the Quality or service management about all problems encountered or observed.

Coordinate the workshop road test (Quality testes) and prioritize their work based on delivery and customers’ requirements.     

Responsible of job cards necessary documents according to the job types and make sure to have required approvals and signatures.


Requirements

Bachelor’s degree in Mechanical Engineering, Industrial Engineering, or a related field.

Proven experience supervising automotive workshops and managing technician teams.

Strong knowledge of workshop management systems and maintenance tracking software.

Excellent organizational and administrative skills, with the ability to coordinate schedules and allocate tasks efficiently.

Effective communication skills and the ability to build strong working relationships across departments and with customers.

Leadership skills to motivate the team, ensure high-quality workmanship, and meet deadlines.

Detail-oriented with strong focus on workflow monitoring and cost control.

Ability to work well under pressure and meet strict timelines.

Proficient computer skills, including report generation and data analysis.

Familiarity with occupational safety procedures and quality standards in automotive workshops.
