Role Overview
We are seeking a discreet, detail-driven, and highly organized Executive Assistant to support senior leadership in a fast-paced Venture Capital / Private Equity environment.
This role requires strong business acumen, exceptional communication skills, and the ability to manage complex scheduling, investor relations coordination, and deal-related administrative processes with the utmost confidentiality and precision.
You will serve as the operational right hand to the Managing Partner, ensuring efficient day-to-day management of time, meetings, communications, and follow-ups — while maintaining a clear understanding of the firm’s portfolio, investments, and ecosystem.
Key Responsibilities
Executive & Administrative Support
- Manage complex calendars, meeting schedules, investor calls, and travel logistics (domestic and international).
- Prepare agendas, briefing notes, and key talking points ahead of partner meetings and board discussions.
- Handle confidential correspondence, investor communication, and follow-ups with professionalism and discretion.
- Draft, proofread, and format investment memos, presentations, and client communications.
- Maintain filing systems for NDAs, deal documents, and portfolio company updates.
Investor Relations & Deal Coordination
- Coordinate investor communications, quarterly reporting, and data room updates.
- Support due diligence processes — organizing materials, tracking submissions, and liaising with portfolio company contacts.
- Maintain contact databases (CRM) for investors, co-investors, and portfolio executives.
- Assist in scheduling and coordinating roadshows, pitch events, and industry conferences.
Operational & Strategic Support
- Act as a bridge between the leadership team and internal/external stakeholders, ensuring smooth information flow.
- Track key deadlines, action items, and deliverables across ongoing deals and firm initiatives.
- Support firm-wide initiatives such as annual general meetings, offsites, and investor networking events.
- Assist with expense tracking, vendor coordination, and basic finance or compliance documentation as needed.
Qualifications
- Bachelor’s degree in Business Administration, Finance, or related field (Master’s preferred).
- 5+ years of experience as an Executive Assistant, ideally in a Venture Capital, Private Equity, Investment Banking, or Family Office environment.
- Strong understanding of financial and investment terminology.
- Excellent command of English (Arabic is an advantage).
- Advanced proficiency with MS Office Suite, Google Workspace, and CRM tools (Affinity, HubSpot, or Salesforce).
- Proven ability to handle confidential and sensitive information with integrity.
- Highly organized, proactive, and able to work under pressure in a dynamic setting.
Key Attributes
- Exceptional attention to detail and time management.
- Emotionally intelligent communicator; professional yet approachable demeanor.
- Strong commercial awareness and understanding of investor dynamics.
- Able to anticipate needs, think ahead, and prioritize effectively.
- Comfortable interacting with high-net-worth individuals, investors, and executives.
What We Offer
- Competitive compensation package with performance-based bonus.
- Exposure to senior leadership, investors, and high-growth portfolio companies.
- A fast-moving, intellectually stimulating environment at the intersection of finance, innovation, and entrepreneurship.
- Opportunities for professional growth within the investment ecosystem.
